Pipeline Forms – Common Issues


Is this the face you make when you get a Paperless Pipeline email that something is missing?  It is such a dreaded e-mail and we get it.  Please don’t feel like you are the only one getting those emails from Paperless Pipeline about your paperwork.  Every transaction has some tweaking needed and that is why our team does such a tremendous job auditing everything for you.  Without this scrupulous paperwork review, things would fall through the cracks and Lindsay would not be able to defend (if needed) your contracts if they are not fully executed.   Even just missing initials can void everything and cause serious trouble if you are in a legal pinch.

There are two common issues with forms that have been getting kicked back often lately so we wanted to share.  Lead Based Paint form and MLS Exclusion are the biggies.

The number one form getting kicked back is the Lead Based Paint Form.  What we are seeing with that form is that many times, the boxes are not checked OR  there are initials missing on the form.  Please note that on each section is says check one.  Be sure to check one of the choices and that all of the initial sections are initialed.  The other thing is that the agents often forget to sign and initial.

The second most kicked back form is the MLS Exclusion Form.  If you are not going to enter your listing withing 48 hours you MUST have this signed.  Otherwise you are breaking an MLS rule that does have a fine attached.  Be sure to have the seller initial all of the paragraphs.   Also be sure that you send it in to the MLS Compliance email on the bottom of the form.    This is tracked by the computer in Flex so if you put a listing in after the listed date it will see this as a violation that you need to address.  This entire process is up for review with the MLS committee and the SCAR BOD.    If anything changes, please know that we will update you right away.


Last but not least the W9 form.  If you are doing a referral, we need the W9 from the Referring Brokerage so that we can pay them the referral fee.    Please verify that is the updated version of the W9.  It should say October 2018 on the bottom.  Please check when you receive them before uploading to paperless pipeline that the referring brokerage has sent you an updated one.
